I Built the Smallest AI Tool Stack I Could Stand. Here Is What Stayed.

You know that little knot in your stomach when somebody says you need a "tech stack"?

I hate that phrase. Always have. Sounds like something a man in a vest says right before he tries to sell you a dashboard you will open twice and then quietly resent.

But here is the problem. The work is still there. The lead comes in at 8:47 at night. The seller wants the market update. The old buyer needs a nudge. The listing needs a reel, a caption, a flyer, and somehow you are supposed to be charming on Instagram after three showings and a home inspection that smelled like wet carpet.

For nineteen years I tried to muscle through that stuff. Back when I carried a pager and a Thomas Guide, my tool stack was a legal pad, bad coffee, and pretending I remembered where I parked.

Now I use five tools. Not twenty. Five.

And if I had to rebuild from scratch Monday morning, this is what I would keep.

1. ChatGPT Plus, about $20 a month

This is the brain. Not the boss. The brain.

I use ChatGPT for first drafts, follow-up angles, listing descriptions, seller update emails, objection scripts, open house summaries, and those awkward little texts where you need to sound helpful without sounding thirsty.

Do not ask it, "Write me a follow-up." That is how you get beige soup.

Use this instead:

You are my real estate assistant. I am following up with a buyer lead who toured three homes with me 90 days ago, then went quiet. They wanted a 3 bed, 2 bath under $425,000 in [area]. Write a warm text that does not guilt them, mentions that inventory has changed, and asks one easy question. Keep it under 450 characters.

That one prompt will save you from staring at the phone like it owes you rent.

2. Google Sheets, free, unless your business already pays for Workspace

I know. Not sexy. That is why it works.

Before you buy another CRM add-on, make one sheet called "AI Follow-Up Board." Put in these columns:

  1. Name
  2. Lead type
  3. Last contact date
  4. What they wanted
  5. Next useful thing I can send
  6. AI draft written, yes or no
  7. Sent, yes or no

Every Friday, paste ten rows into ChatGPT and ask it to write one useful follow-up for each person.

Not a newsletter. Not a blast. One human note each.

Friend, this is where deals hide. Not in the fancy dashboard. In the names you forgot because midnight paperwork buried them.

3. Canva Pro, around $15 a month if you pay monthly

Canva is for making your market knowledge look like you did not assemble it in a panic at 11:18 p.m.

I use it for three things only:

  1. Just listed and just sold graphics
  2. Monthly market update cards
  3. Seller education posts

Here is the workflow. Ask ChatGPT for five simple market takeaways. Paste them into Canva. Use one clean template. Change the address, neighborhood, and numbers. Stop redesigning the whole thing every time.

The agent who wins with content is usually not the most creative one. It is the one who can repeat a useful thing without turning it into a Broadway production.

4. CapCut Pro, about $19.99 a month

This one is for video, and yes, I can hear half of you groaning. I groaned too.

But video is not optional anymore. You do not need to become a dancing agent. Please do not become a dancing agent unless your family has approved it in writing.

Use CapCut for the boring stuff:

  1. Auto captions
  2. Cutting dead air
  3. Turning one phone video into three short clips
  4. Cleaning up audio when you recorded in the car because that is where your life happens

Record this once a week:

Here is one thing buyers in [your city] are misunderstanding this week.

Talk for two minutes. Cut it into three clips. Post one Monday, one Wednesday, one Friday.

That is not a content strategy that wins awards. Good. Awards do not pay the light bill. Leads do.

5. Zapier Professional, starts around $19.99 a month

Zapier is the pipe between the tools. It is not glamorous. Neither is plumbing, until the toilet stops working during an open house.

Start with one automation:

When a new lead comes in from your website or form, send the name, phone, email, and property interest into your sheet or CRM. Then create a task for follow-up.

That is it.

Do not build a spaceship. Build a pipe.

If you already use Follow Up Boss, their plans start around $69 a month and it can become the home base. If you do not, do not let that stop you. A clean Google Sheet beats an expensive CRM you never open.

The Monday Morning Version

If you want the smallest possible setup, do this:

  1. ChatGPT Plus for writing and thinking
  2. Google Sheets for tracking the people money comes from
  3. Canva for simple market pieces
  4. CapCut for short video cleanup
  5. Zapier only when you are tired of copying and pasting

You can run that for roughly the cost of one mediocre closing gift, and it will touch your business every week.

Not magically. Not overnight. But steadily.

And steady is how this business actually works, no matter what the internet boys tell you.

Start with the sheet. Put ten old leads in it tonight. Ask ChatGPT to write ten useful follow-ups. Send three before lunch Monday.

That is enough movement to find out what's been sitting there waiting for you.
